Varia Polish Language Center School By-laws
§ 1 CREATION OF THE GROUPS, FUNDAMENTAL RULES
Enrollment in the course takes place after the completed application form has been successfully submitted to the School (online or at the School’s office), the required course fee has been paid, and confirmation of acceptance has been received from the School. Simply submitting the application form does not constitute enrollment in the course. Payment of the course fee and receipt of confirmation of enrollment constitute acceptance of these Terms and Conditions, which are an integral part of the agreement between the School and the Student.
- A prerequisite for determining the Student’s level of proficiency is completing an oral test with a Teacher – except for those starting from scratch, those continuing their studies at Varia School who hold a certificate of completion of the previous level, or those with an international language diploma. The Student is required to schedule the oral test via the link provided by School.
- A free placement test is provided for the Student’s convenience on Varia’s web page www.varia-course.com. The test result may be used to assess the Student’s level, but it does not replace the oral test.
- The instructional groups are created based on the Students’ language ability, age, and individual needs.
- The course is designed for Students over 15 years of age.
- Upon the class commencement, it is permissible for the Student to change course level (to a higher or a lower one) with Varia’s approval.

- The number of Students in a group vary from 5 to 14.
- A group will be formed provided that at least 5 students sign up.
- In the event that a planned group cannot be formed due to an insufficient number of participants, those who have paid for the course will receive a refund of the amount paid, or the School will offer the Student an alternative type of classes, e.g. online or individual lessons.
- If, after commencement of a class, the number of participants decreases to fewer than five, the Students will be offered to join a different group, to participate in an abbreviated course, or to have the unused fees returned.
- Students joining the group after the course has begun are subject to the current price list published at www.kurspolskiego.pl.
- The School reserves the right to change the Teacher during the course because of unforeseen circumstances.
- The School does not guarantee that classes at the next level will be taught by the same teacher.
- The school requires students to be punctual, to actively participate in the course, and to prepare for classes conscientiously and thoroughly. Students must not disrupt classes, use cell phones or other devices that interfere with the group’s work during class, or behave in a manner contrary to the norms of social coexistence, particularly with regard to religious and national sentiments.
- By enrolling in a course, the participant agrees to attend classes on the dates specified in the schedule for the selected course. It is not possible to change the class date, group, or course at the participant’s request.
- Students are not reimbursed for their absences.
- In case of a Teacher’s absence, technical issues, or other unforeseen circumstances, the School will provide a substitute or reschedule classes to a date convenient for all Participants.
The School reserves the right to take photographs, record classes and events organized by the School, and to record the statements, opinions, and likenesses of Students both on School premises and during classes and events organized off-site. Materials containing a student’s likeness, voice, statements, or other elements that allow for the student’s identification may be used by the School for educational, promotional, and marketing purposes, in particular in teaching materials, on the School’s website, on the School’s social media, and through other channels used to communicate and promote the School’s activities. The School undertakes to use such materials while respecting the rights and personal interests of Students and in accordance with applicable data protection laws.
- In case of any suggestions or concerns, please contact your Teacher, the Office, or the Management.
§ 2 CERTIFICATIONS, TESTS, DOCUMENTS
- To obtain a course certificate a Student has to participate in at least 60% of lessons during the semester course and receive a positive grade from the final exam (min. 60%).
- A Student advances to the next level course upon passing the final test (at least 60%), attending at least 60% of lessons, completing assigned homework, and receiving a positive opinion from the Teacher about the Student’s work and his/her progress.
- A Student who did not take the final test on the date scheduled for the group is obliged to take the test at the earliest possible date.
- At the Student’s request, Varia will provide a course registration confirmation, which can be presented to apply for a residence card or a visa.
§ 3 PAYMENT FOR THE COURSE
- The participant is required to pay the full course fee before the course begins, in accordance with the School’s price list.
- The course price includes an administrative fee of PLN 250 to cover the preparation and organization of the course.
- The Course price.
3.1 The price of the semester course (at Varia and online) includes:
-Polish language lessons
-Additional materials (except for a textbook and a workbook) used in class
-Cultural program prepared for the semester course (such as lectures, themed workshops)
-Placement test
-Final exam
-Certificate of attendance
3.2 The price of the 3-week intensive course includes:
-Polish language lessons
-Additional materials (except for a textbook) used in class
-Placement test
-Final exam
-Certificate of attendance
3.3 The price of the intensive summer course includes:
-Polish language lessons
-Language and culture workshops
-Additional materials (except for a textbook) used in class
-Placement test
-Final exam
-Certificate of attendance
3.4 The price of the preparatory course for the telc exam or the Polish language certification exam includes:
-Polish language lessons
Examination materials used during the classes
- The course fee must be paid in full before the classes begin.
- The course fee must be paid within one week of receiving the registration confirmation.
- In case of enrollment in a course less than one week prior to the start of such course, the full course fee must be paid at once.

All bank fees are the responsibility of the Student.
6. Promotions, discounts, and discount coupons for group courses cannot be combined. When purchasing a single course, you may use only one type of promotion, discount, or discount coupon.
7. Promotional coupons, discount coupons, and prizes received in contests and promotional campaigns organized by the School may not be exchanged for cash or other monetary benefits.
§ 4 CANCELLATION
- Cancellation rules:
- If enrollment takes place outside the school’s premises, the student has the right to cancel the contract within 14 days of the payment date. On the first day of the course, the student loses the right to a refund of the course fee.
- If enrollment takes place at the school’s headquarters, the student is not entitled to withdraw from the contract.
The certificate issued by the School confirms only the student’s participation in a specific group Polish language course and does not guarantee the issuance of a visa or residence permit. The student is responsible for verifying independently whether the selected course type and the documents issued by the School meet the requirements of the relevant administrative authorities. A refusal to issue a visa or residence permit in connection with participation in a group course other than an annual (visa) course does not constitute grounds for a refund of the course fee, a complaint, or withdrawal from the terms of the contract. An exception applies to participants in annual (visa) courses, for whom the rules regarding fee refunds in the event of a visa denial are set forth in the separate Regulations for Annual (Visa) Courses.
§ 5 WARRANTY COMPLAINTS
- Every Student has a right to file a warranty complaint. The warranty claim can refer to the teaching methods and/or organizational issues.

- A properly submitted complaint should include:
The personal information of the Student (name, surname, address, email)
The description of the situation causing the complaint
The Student’s expectations regarding the resolution of the complaint - Complaints must be submitted within seven days of the occurrence of the event.
- The School will review complaints within seven days of the date the complaint was received.
- The Student will be informed of the complaint resolution via email.
- The form of any individual compensation will be determined together with the Student.
