One-Year Polish Language Course By-laws (visa courses)
§ 1. REGISTRATION FOR THE ONE-YEAR COURSE
Enrollment in the course takes place after filling in the application form (online or in the School’s office). After completing the application form, the Student will receive the agreement for participation in the annual Polish language course (visa course) (hereinafter: “agreement”) and after concluding it and paying the full course fee, the Student is obliged to provide the following documents and information to the School’s office:
- bank confirmation of payment of the Course fee,
- a scan of the first page of the passport,
- the completed and signed agreement,
- information about the start date of the course,
- the address to which (for an additional fee of 45 PLN / 10 EUR) the Certificate may be sent upon the Student’s request, or information regarding personal collection of the Certificate.
§ 2. PAYMENT FOR THE ONE-YEAR COURSE
- The Student is obliged to pay the full course fee within 5 days from the date of signing the agreement.
- The course price includes an administrative fee of 900 PLN for preparing and organizing the course, reserving a place in the group, and issuing the certificate.
- The course price includes:
- a certificate of participation in the course to be submitted to the authorities,
- 250 hours of Polish language and culture classes in the form of group courses (semester and intensive courses) and individual lessons,
- workshops and lectures,
- integration meetings,
- a set of textbook and workbook (one set),
- additional learning materials,
- the Varia Club discount card,
- access to the student panel,
- placement test,
- final test,
- course completion certificate.
- Payments can be made either in cash, by card, or by bank transfer to the below listed account:

§ 3. CANCELLATION OF THE COURSE
- Cancellation rules:
- If the enrollment took place outside the school premises, the Student may withdraw from the Course within 14 days from the date of enrollment:
- without giving a reason, if the withdrawal occurs before issuing the Certificate,
- without giving a reason, but if withdrawal occurs after issuing the Certificate, the refunded amount will be reduced by administrative costs (900 PLN).
- If the Student receives a refusal of a visa or residence permit before or after the start of the course (for a reason other than the Student’s absence from the Course classes), the Student may submit a written statement terminating the agreement with immediate effect within 7 days from the date of receiving the refusal and must send a scan of the refusal decision.
- If the refusal is received before the start of the course and the refusal decision and termination statement are submitted within 7 days, the Student receives a refund reduced by administrative costs (900 PLN).
- If the refusal is received after the start of the course (for a reason other than the Student’s absence) and the required documents are submitted within 7 days, the Student receives a refund reduced by administrative costs (900 PLN), the cost of received textbooks, and the cost of lessons already taken.
- If the Student does not send the scan of the visa or residence permit refusal decision and the statement on terminating the agreement with immediate effect to the School within 7 days from the date of receiving the refusal decision, the Student cannot terminate this agreement and does not receive a refund of the course fee already paid, and the School will allow the Student to take the Course online at the next possible date, about which the Student will be informed by the School.
- Receiving a refusal of a visa or residence permit does not entitle the Student to request a refund of the amount paid for the Course or to terminate the agreement with immediate effect if the refusal is due to the Student’s absences from the classes for which they were enrolled. In such a case, the Student will be able to continue the Course online at the next possible date indicated by the School.
- Ceasing participation in classes does not equate to terminating the agreement and does not exempt the Student from the obligations.
- The Student’s failure to attend classes during the period specified in the agreement and in the certificate does not constitute grounds for requesting a refund of the fee paid or for demanding that the classes be held at a time other than the one specified in the certificate.
- The amount paid is not refundable without presenting the decision refusing the visa or residence permit and submitting by the Student a statement on terminating the agreement with immediate effect, in the event that the Student decides to stop applying for a visa or residence permit after the school has issued the relevant certificate. In such a case, the Student will be able to start or continue the course online at the next possible date indicated by the School.
- The Student is obliged to send the School, by email to info@kurspolskiego.pl, the received decision refusing a visa or residence permit within 7 days from the date it was issued. If the Student wishes to withdraw from the course, they are obliged to send a statement on terminating the agreement with immediate effect within 7 days from the date of receiving the refusal decision.
- The refund of the amount paid will be made within 14 days from the date the School positively considers the Student’s request.
- If the enrollment took place outside the school premises, the Student may withdraw from the Course within 14 days from the date of enrollment:
§ 4. CONFIRMATION LETTER
- After paying the full course fee and submitting the signed agreement, the Student will receive an electronic Confirmation Letter (PDF) confirming their enrollment in the annual Polish language course at the Varia Polish Language Center within 14 days from the date of payment.
- The confirmation letter can be presented to the relevant authority to apply for a visa or to legalize residency in Poland.
- The confirmation letter is issued for one year.
- The confirmation letter in a name of one Student.
- It is not possible to transfer the Confirmation Letter to another person.
- It is not possible to attend classes on dates other than those specified in the Confirmation Letter and the agreement.
§ 5. CREATION OF THE GROUPS, FUNDAMENTAL RULES
- The Students (with the exception of students starting their Polish education, students continuing their education at Varia) is required to take a placement test and/or participate in an interview with a Varia teacher.
- A free placement test is provided for the Student’s convenience on Varia’s web page www.varia-course.com.
- The instructional groups are created based on the Students’ language ability, age, and individual needs.
- The course is designed for Students over 15 years of age. Persons under 18 years of age are required to provide a written statement from their legal guardian confirming consent for the Student to participate in the course.
- Upon the class commencement, it is permissible for the Student to change course level (to a higher or a lower one) with Varia’s approval.
- The number of Students in a group vary from 5 to 14.
- The School reserves the right to change the Teacher during the course because of unforeseen circumstances.
- Varia requires Students to be punctual, actively participate in class, and diligently prepare for future lessons. It is forbidden for the Student to be disruptive during a class, to use a mobile phone or any other equipment that interrupts the group, or to behave in a manner inconsistent with commonly accepted social norms, in particular concerning religious and national feelings.
- Students are not reimbursed for their absences.
- In case of a Teacher’s absence, technical issues, or other unforeseen circumstances, the School will provide a substitute or reschedule classes to a date convenient for all Participants.
- Varia reserves the right to record lessons for educational purposes. The recordings will be used only for the School’s purposes (posted in the student panel for students to listen to again for two weeks after class) without being shared or distributed to third parties.
- In case of any suggestions or concerns, please contact your Teacher, the Office, or the Management.
- The School will provide the certificate issued to the Student and information regarding the participant’s classes upon request from customs services or any office for foreigners.
§ 6. CERTIFICATES, TESTS
- To obtain a course certificate a Student has to participate in at least 60% of lessons during the semester course and receive a positive grade from the final exam (min. 60%).
- The conditions for promoting the Student to the next, higher level are: achieving a positive result on the final test (minimum 60%), at least 60% attendance in classes, regular completion of homework, and a positive teacher’s evaluation of the Student’s work in lessons and progress in learning.
- A Student who did not take the final test on the date scheduled for the group is obliged to take the test at the earliest possible date.
- At the Student’s request, Varia will provide a course completion certificate.
§ 7. WARRANTY CLAIMS
- Every Student has a right to file a warranty complaint. The warranty claim can refer to the teaching methods and/or organizational issues.
- A warranty claim can be submitted:
- at the office of VARIA Polish Language Center Ltd.,
- via email sent to: info@kurspolskiego.pl.
- A properly submitted complaint should include the following information:
- identification of the Student (first name, last name, residential address, email address),
- a description of the event that forms the basis of the complaint,
- the Student’s expectations regarding the resolution of the complaint.
- Complaints must be submitted within 7 days from the date the event occurred.
- The School will review the complaint within 7 days of its receipt.
- The Student will be informed of the complaint resolution via email.
- The form of any individual compensation will be determined together with the Student.
